1. Overview
BuddyTMS ("we", "us") operates BuddyTMS. This Privacy Policy describes information we collect, how we use it, and your choices.
2. Information we collect
Account data: name, email, company name, DOT/MC, phone, address, and workspace settings you provide during signup or onboarding.
Operational data: orders, carriers, drivers, documents, messages, photos, GPS pings, timeclock entries, and marketplace activity within your workspace.
Technical data: IP address, browser type, device identifiers, cookies, and usage logs for security and reliability.
Payment-related data: billing contact, plan tier, subscription status, and payment metadata processed by Stripe (our payment processor). We do not store full card numbers.
Stripe Connect data: if your workspace accepts freight invoice payments via Pay Now, Stripe Connect processes your connected-account onboarding details and your customers' payment data on our behalf. We receive limited metadata (payment status, amount, platform fee) needed to reconcile invoices — not full card or bank details.
3. How we use information
Provide, secure, and improve the Service — including FMCSA lookups, weather/fuel integrations, email notifications, and document generation.
Verify brokers and carriers, enforce invite-only access, and investigate abuse reports.
Respond to support requests and send service-related emails (password reset, invites, load updates).
Comply with law and protect users, our platform, and the freight network.
4. Sharing
We do not sell your personal information.
We share data with service providers under contract (hosting, database, email, maps, FMCSA/weather/fuel APIs, Stripe/Stripe Connect for payments) only as needed to operate the Service.
Customer and driver portal links expose only the information you configure for those portals.
We may disclose information if required by law or to protect rights, safety, and integrity of the platform.
5. Multi-tenant isolation
Each organization workspace is logically separated. Your carriers, orders, and documents are not visible to other BuddyTMS customers except where you explicitly share via portals, marketplace, or messaging features you enable.
6. Driver & customer portals
Magic links for drivers and customers are unlisted URLs. Anyone with the link may access the scoped portal until the link is revoked or expires.
GPS and photo uploads from driver portals are stored for dispatch and compliance purposes configured by your organization.
7. Retention & security
We retain data while your account is active and as needed for legal, audit, and backup purposes.
We use encryption in transit, access controls, and tenant row-level security. No method of transmission or storage is 100% secure.
8. Your choices
Update profile and organization settings in your workspace. Contact us to request account deletion subject to legal retention requirements.
You may opt out of non-essential marketing emails by contacting support.
9. Children
The Service is for businesses and is not directed to children under 16.
10. Changes
We may update this policy. We will post the revised date at the top of this page. Material changes may be communicated by email or in-app notice.
